Terms of Use

Operator

0224 Solutions is a trading name of Key Empire Resources (UK) Limited, company number 07707913, registered in England and Wales. Registered office: Flat 7, Drive House, 337 London Road, Mitcham, Surrey, CR4 4BE.

What these terms cover

These terms apply to the 0224 Solutions website, customer accounts, self-service business tools, guided service-request workflow and related online commercial access.

Professional services are normally scoped separately. A proposal, statement of work, order form or other written agreement may add to or replace parts of these online terms for that engagement.

Self-service tools

0224 Solutions currently offers ten focused business checking tools covering areas such as revenue leakage, missing payments, supplier rates, payroll differences, duplicate records, leaver access and evidence gaps.

The tools identify potential issues from the data supplied. They support human review and are not legal, accounting, tax, payroll, compliance, security or financial advice.

Accounts and access

An account is required for paid tool use. You are responsible for keeping your login details secure and for activity carried out through your account.

Tool access may be purchased as a pay-as-you-go run or through a monthly plan with the usage allocation shown at checkout. A run is intended to be consumed only after a valid analysis completes.

Payments, subscriptions and cancellation

Payments are processed by Stripe. 0224 Solutions does not store your full payment-card details. Monthly subscriptions renew until cancelled. Where available, billing details, plan changes and cancellation are managed through the Stripe Customer Portal.

For completed digital tool runs, refunds are not normally available after processing has completed, except where the service was not supplied as described or applicable law requires otherwise. If a paid run fails because of a service error, contact us.

Guided service requests

The guided request workflow collects structured information about the business problem, desired outcome, systems involved, available evidence, scope, urgency and contact details so that 0224 Solutions can assess and route the request.

Submitting a request does not by itself create a binding obligation for 0224 Solutions to accept the work. Professional services begin only when scope, commercial terms and any required engagement conditions have been agreed.

Permitted and prohibited use

You may use the service only for lawful business purposes and only with information you are authorised to process. You must not attempt to bypass security controls, interfere with the service, upload malicious content or use results as the sole basis for accusations, disciplinary action, recovery action, withholding payment or legal action without appropriate human review and professional input where needed.

User responsibilities

You are responsible for the quality, lawfulness and relevance of the information you provide, for checking mappings and extracted values, and for reviewing findings against source records and applicable agreements before acting.

Professional services

Professional work may include process improvement, workflow and AI audits, AI governance and integration, automation, SOP and operational documentation, document rescue, spreadsheet and data rescue, tender and bid support, and B2B prospect research. Deliverables, timing, assumptions, evidence requirements, pricing and acceptance criteria are agreed for the particular engagement.

0224 Solutions will not knowingly fabricate certifications, qualifications, evidence, financial information, contracts, signatures or official records.

Intellectual property

0224 Solutions and its licensors own the website, software, interface, design and tool logic. Customers retain their rights in their own source data and materials, subject to rights held by their organisation or other parties. Rights in bespoke professional-service deliverables are governed by the relevant engagement terms.

Availability and liability

We aim to provide useful and secure services, but no online service can be guaranteed to be uninterrupted, error-free or suitable for every situation. Results depend on the completeness and quality of the information supplied.

Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited.

Changes, suspension and governing law

We may update the service or these terms where necessary for product, security, legal or operational reasons. Unless otherwise agreed in writing or required by mandatory law, these terms are governed by the laws of England and Wales and disputes are subject to the courts of England and Wales.

Privacy Notice

Who controls your personal data

Key Empire Resources (UK) Limited, trading as 0224 Solutions, is the controller for personal data used to operate the website, accounts, billing administration, service enquiries, guided requests, support, security, analytics and business communications.

Where a customer provides personal data for 0224 Solutions to process only on that customer's instructions as part of a tool run or professional engagement, 0224 Solutions may act as processor for that data. The Data Processing Terms explain that position.

Information we collect

Depending on how you use 0224 Solutions, we may collect:

  • account information such as email address, password hash, account status and session information;
  • billing and entitlement records such as plan, usage balance, Stripe customer or subscription identifiers, payment state and billing-event references;
  • guided service-request information such as name, company, email, optional phone number, selected business problems, desired outcomes, systems, available materials, scope, urgency, optional budget and request summary;
  • support, feedback and business-enquiry information you choose to send us;
  • tool-run and service-usage information such as tool selected, processing status, usage consumption, report activity and technical events;
  • business-file data you upload to a self-service tool, which may contain personal data relating to workers, customers, suppliers or other business contacts.

Why we use personal data

We use personal data to create and secure accounts, provide tool access, process payments and entitlements, respond to enquiries, assess and manage service requests, deliver agreed work, provide support, investigate errors, prevent abuse, maintain service security, operate first-party analytics and meet legal or accounting obligations.

Where processing is necessary to provide a requested account, paid tool or agreed service, we generally rely on performance of a contract or steps taken at your request before entering a contract. We rely on legitimate interests for service security, abuse prevention, support, troubleshooting, product improvement, operational analytics and responding to business enquiries where those interests are not overridden by individual rights. Where optional marketing is offered, we use it only where the relevant permission or other lawful basis applies.

Guided service requests

The current guided intake does not upload evidence files. It stores the structured request and contact information needed to assess and manage the enquiry. If evidence or working files are later supplied by email or another agreed channel for a professional engagement, their handling will depend on the scope of that engagement and these legal terms.

Self-service tool files

Supported tools may process CSV, Excel/XLSX, PDF, scanned PDF, Word/DOCX, JPG/JPEG and PNG files where the selected file can be read safely.

Depending on the tool, data may include business identifiers, business email addresses, payroll or expense records, invoice and payment references, dates, hours, rates, quantities, monetary amounts, currencies, system-access records and compliance or evidence records.

Data minimisation

Only provide information needed for the requested check or service. Do not upload passwords, authentication secrets or irrelevant personal information. Avoid special-category data unless it is genuinely necessary and has been agreed for the relevant processing.

Analytics and browser storage

0224 Solutions uses first-party operational analytics to understand service usage and performance. Analytics is designed not intentionally to include uploaded document contents, OCR text, filenames, names, invoice numbers, payment references, rates, monetary values, payroll values or free-text feedback.

Public analytics does not use third-party advertising or cross-site tracking. Account login, checkout protection and authenticated service functions may use strictly necessary first-party session cookies.

Providers and recipients

Hostinger provides website hosting and business email infrastructure. Stripe provides checkout, subscription and billing-management services. Stripe processes payment information under its own applicable terms and privacy information.

The self-service tools do not currently send uploaded business files to an external generative-AI provider or external OCR provider. If a professional engagement would require another processor or AI service to receive client data, that use should be disclosed or agreed for the engagement before such processing takes place.

International transfers

Hosting, email or payment providers may process information in the UK, EEA or other jurisdictions depending on their infrastructure and subprocessors. Where required, recognised transfer safeguards may be used.

Retention

Uploaded source files for self-service tools are not intended to be retained as a document archive. Where the application controls the upload, source files are deleted after processing in the normal request flow, with automatic cleanup for temporary remnants.

Structured service requests, account records, billing records, support correspondence and professional-service records are retained for as long as reasonably necessary to manage the relationship, provide the service, maintain security and records, and meet legal, accounting or dispute-resolution requirements. First-party analytics and feedback may be retained for up to 180 days by default unless a different operational or legal requirement applies.

Security

Controls include access restrictions, request validation, file-type and content checks, upload limits, unsafe-file rejection, session protections, security headers, separation of application configuration from public files, temporary-file cleanup and limits on analytics content. No system can guarantee absolute security.

Your rights

Depending on the circumstances, individuals may have rights to access, correct, erase, restrict or object to processing, and may have data-portability rights. You may also complain to the UK Information Commissioner's Office.

For 0224-controlled personal data, contact hello@0224solutions.com. Where the relevant data was supplied by one of our business customers and we act only as processor, the request may need to be handled by that customer as controller.

03 — Data Processing Terms

Data Processing Terms

These terms apply when 0224 Solutions processes personal data on behalf of a business customer as processor in connection with a self-service tool or professional service and no separate data-processing agreement replaces them.

Subject matter and duration

The subject matter is the processing needed to provide the selected tool or agreed professional service. Processing continues for the period necessary to provide that service, including any short operational cleanup, support, security or agreed retention period.

Nature and purpose

Processing may include receiving, validating, storing temporarily, organising, extracting, comparing, analysing, structuring, formatting, documenting, reporting and deleting data to provide the requested service.

Types of personal data and data subjects

Depending on the service, personal data may include business contact details, worker or employee identifiers, account or access records, payroll-related records, expenses, customer or supplier references, invoice and payment references, dates, hours, rates, quantities, amounts and other operational records. Data subjects may include employees, workers, contractors, customers, suppliers, account users and business contacts.

Customer responsibilities and instructions

The customer remains responsible for determining the purposes and lawful basis for the personal data it provides, ensuring it is authorised to provide that data, giving lawful documented instructions and limiting data to what is necessary.

0224 Solutions will process processor-data only on the customer's documented instructions, including instructions conveyed through the selected tool, agreed scope, uploaded files, field mappings, written communications or other recorded directions, unless UK law requires otherwise.

Confidentiality

0224 Solutions will ensure that people authorised to process customer personal data are subject to appropriate confidentiality obligations.

Security

Taking account of the nature of the processing, 0224 Solutions will use appropriate technical and organisational measures designed to protect personal data against unauthorised access, loss, alteration or disclosure.

Subprocessors

The customer authorises 0224 Solutions to use subprocessors reasonably required to provide the service, subject to equivalent data-protection obligations where required. Current core infrastructure includes Hostinger for hosting and email services. Stripe is used for payment processing and generally handles payment data under its own role and terms rather than as a subprocessor for uploaded tool data.

0224 Solutions remains responsible for the performance of its processor obligations where applicable to authorised subprocessors.

Data-subject rights and compliance assistance

Taking account of the nature of the processing, 0224 Solutions will provide reasonable assistance to the customer with data-subject requests and with the customer's obligations relating to security, personal-data breaches, data protection impact assessments and regulatory consultation where relevant to the processing performed by 0224 Solutions.

Personal-data breaches

If 0224 Solutions becomes aware of a personal-data breach affecting customer personal data for which it acts as processor, it will notify the customer without undue delay and provide available information reasonably needed for the customer to assess its obligations.

Deletion or return

At the end of processor services, 0224 Solutions will delete or return processor personal data as required by the customer, unless applicable law requires continued retention. Self-service source files are ordinarily deleted after processing as described in the File Handling section.

Audit information

0224 Solutions will make available information reasonably necessary to demonstrate compliance with these processor terms and will permit reasonable audits or inspections where required by applicable data-protection law, subject to appropriate confidentiality, security, scope and cost controls.

Unlawful instructions

If 0224 Solutions reasonably believes a documented instruction infringes applicable data-protection law, it may suspend the affected processing and inform the customer.

International transfers

Where processor personal data is transferred internationally, 0224 Solutions will use a lawful transfer mechanism where required and will require relevant subprocessors to do the same.

04 — File Handling & Security

How we handle files and operational data

Self-service tool uploads

Files uploaded to a self-service tool are processed to perform the selected business check. Supported formats currently include CSV, Excel/XLSX, PDF, scanned PDF, Word/DOCX, JPG/JPEG and PNG where the file can be read safely.

Documents, images and OCR

Native or text-based documents may be parsed to identify the structured information needed for a check. Scanned PDFs and images use first-party browser-based OCR assets hosted by 0224 Solutions. OCR-derived values can be uncertain, so users may be required to review and correct extracted information before analysis.

No external AI processing of tool uploads

The current self-service tools do not send uploaded business files to an external generative-AI service for analysis, and uploaded tool files are not used by 0224 Solutions to train AI models.

Storage and deletion

The self-service tools are not a document archive. Where the application controls server-side uploads, source files are deleted after processing in the normal request flow. Automatic cleanup removes temporary upload remnants after a short operational period, currently approximately 30 minutes.

Downloaded reports may contain business information needed to explain findings. Customers are responsible for protecting copies they download and for retaining their own source records.

Guided intake and professional service files

The current guided service-request form records structured request information but does not itself accept evidence-file uploads. Where documents or datasets are later supplied for professional service delivery, they should be provided only through the channel agreed for that engagement and only where necessary for the work.

What not to provide

Do not provide passwords, authentication credentials, secrets or irrelevant personal data. Avoid special-category personal data unless it is genuinely necessary for the agreed work and an appropriate basis and handling arrangement are in place.

Reports and findings

Tool findings and reports identify potential discrepancies from the supplied data. They are not audit opinions, legal determinations, accountant certifications, compliance certificates or security certifications.
